About the Job
The global market for medical and assistive devices continues to expand with Victoria leading the way in product development & many first in man trials. Although there is a market for clinical and patient focused devices, getting ideas validated (clinically and technically), prototyped, made affordable, and manufactured locally is challenging. Swinburne University of Technology is looking to fill the gaps in Victoria’s pipeline by building a new facility for the co-creation of assistive technologies, the delivery of programs to support the digitisation of the MedTech and Pharmaceutical sectors and the development of clinicians with product development skills. There will also be applied research and development projects that will span design, AR/VR, digital manufacturing and clinical activities.

We are seeking an experienced administrator to undertake a wide range of administrative functions in support of the project activities. You will provide support to enable compliance with Swinburne and regulatory processes and will assist in the implementation and streamlining of these processes. You will also play a key role in ensuring that the student placements are coordinated effectively, and you will be responsible for the monitoring of the students’ progression and ensuring that the relationships with the industry partners are transparent and highly collaborative.

About you
To be successful in the role, you will have:
• A degree in a relevant field; or an equivalent combination of relevant experience and/or education/training.
• Demonstrated experience in the provision of quality administrative and support services within a demanding environment.
• Proven ability to consult and liaise with internal and external stakeholders and maintain effective and cooperative working relationships.
• Demonstrated ability to solve problems including adapting work practices.

Key Responsibilities
• Undertake general administrative tasks including addressing general administrative matters as they relate to MedTechVIC and the Integrated Learning Internships Program.
• Liaise effectively with internal and external stakeholders and collaborate to resolve queries and problems accurately and in a timely manner, providing clear advice and options.
• Coordinate the workflow of document approvals where appropriate within timeframes and according to authorised delegations.
• Work with the MedTechVIC Project Manager and senior members of the project team to plan, scope and deliver events and activities relevant to the delivery of the project including industry events, conference and symposia, working with members of the Swinburne Research Services Communications and Outreach team where required.
• Coordinate the placements of the interns into the industry partners organisations.
