About The Role

Role Location: 833 Collins Street, Docklands VIC 3008

Role Type: Permanent, Full-time

As an Executive Assistant, you will provide Executive support to the Head of Asset & Leveraged Finance and team assistant support to the SAF Australia and LAF Australia Teams.

These responsibilities include (but are not limited to):

  • Diary management – proactive management of diaries (internal and external meetings), including managing meeting conflicts and being able to make prioritization decisions
  • Ensuring all documents are sent and received prior to key meetings
  • Office and Administrative Tasks - Perform general office duties, including copying, scanning and filing
  • Travel management – inclusive of flights, transfers, visas and accommodation bookings, ensuring cost effectiveness is maintained/monitored at all times.
  • Expense management – reconciliation of all Executives monthly expenses, ensuring the receipt and payment of invoices align to expense policy/ensuring all expenses are coded correctly.
  • Business unit processes and activities – perform business unit processes and activities including regular reporting, reconciliations and monitoring.
  • Building and maintaining effective relationships with key stakeholders.
  • Identify and act on opportunities to improve effectiveness and flow of office activities.
  • Act as central liaison point for communication between execs and direct reports ensuring harmonisation and consistency of information.

About You

To be successful in this role, you will ideally have the following:

  • Intermediate PC skills (Word, Excel, Exchange, PowerPoint & Outlook)
  • Effective communication skills
  • Strong attention to detail
  • Experience in providing support at senior levels of an organization
  • Developing, influencing, networking and relationship skills
