About the role:

An exciting, casual opportunity to join Box Hill Institute as a Records Officer!

The Records Officer assists with and supports the records appraisal program by accurately classifying and sentencing BHI records in accordance with relevant legislation, regulations, retention schedules, and policies. This includes carrying out the appropriate actions for sentenced records such as indexing, cataloguing, archiving, transferring and disposing of records in line with BHI’s business processes.

Working under general direction as a key member of the Quality, Compliance and Risk Team, a dynamic group focused on process efficiency, quality outcomes, productive partnerships, and a commitment to professionalism and continuous improvement.

The team is responsible for compliance with government regulations including the BHIG’s financial policies and procedures, by providing high quality advice and support to managers and employees engaged in financial transactions throughout the organisation.

This role is a casual opportunity for six months. Casual hourly rate is PACCT4.1 $41.61.

About You:

  • Relevant qualification in records management is preferred but not essential
  • Experience in a similar role managing records in accordance with legislation, regulations and policies
  • Able to safely handle archive boxes
  • Ability to manage time effectively to complete projects on time
  • Proven knowledge of and experience in ensuring compliance with relevant regulatory

requirements plus demonstrated ability to exercise discretion and maintain confidentiality

  • Knowledge of relevant retention and disposal authorities (RDAs) with the ability to apply the schedules to systematically dispose of records
  • Cooperates and works well with others in the pursuit of team goals. Collaborates and shares information appropriately, showing consideration, concern and respect for others feelings and ideas
  • Accommodates and works well with the different working styles of others. Encourages resolution of conflict within group
  • Ability to communicate using clear, concise and grammatically correct language organised in a logical sequence. Includes content appropriate for the purpose and audience. Clearly explains information and listens to feedback using a polite and considerate manner when dealing with others. An eye for detail for accuracy
  • Regularly plans and tracks progress on work tasks, taking an organised,

methodical approach to work, with the ability to manage workload and conflicting priorities during peak times
