About the role

This a newly created position reporting to General Counsel.  As the Support Officer for the Office of Ministerial Correspondence, you will be instrumental in providing coordination, communication, administrative and project support to our General Counsel. You will be responsible for ensuring efficient diary management, managing internal and external correspondence, and supporting reporting will be crucial to our team's success.

This is a permanent full time role, location flexible.  You can work from where you are most productive, whether that be from your home or one of our offices, however, there may be times where you are required in the office.

Key Responsibilities

  • Provide efficient diary management for the General Counsel, organising meetings with stakeholders
  • Assist with general administration tasks and support the team as required
  • Prepare high-quality documents, reports, letters, and submissions
  • Coordinate travel, accommodation, and reconcile monthly expenses
  • Plan and coordinate internal and external meetings, including agenda preparation and minute-taking
  • Ensure the General Counsel is prepared for meetings, workshops and events
  • Review and respond to incoming correspondence on behalf of the General Counsel
  • Analyse information to support the General Counsel in their role
  • Coordinate required reporting and provide insights and analysis
  • Monitor and report progress towards organisational risk mitigations
  • Support the management of project work that aligns with strategic objectives
  • Provide secretarial support to projects led by the General Counsel

Skills & Experience

  • Tertiary qualifications in business, management or relevant field experience
  • Experience supporting senior leaders and building relationships with stakeholders
  • Strong research, analysis and problem-solving skills
  • Excellent written and verbal communication skills
  • Ability to manage sensitive information and maintain confidentiality
  • Proficiency in Microsoft Office suite and other analytic tools
  • Ability to work independently and as part of a team

Successful candidates will be required to clear all state-based probity checks; including but not limited to a National Criminal History Record Check.
